Why APA Trips Students Up

APA 7 split the rules into a student version and a professional version, and most guides online still describe the professional one. That is why students add running heads they do not need and abstracts nobody asked for.

Student papers and professional papers are formatted differently

This is the change in APA 7 that causes the most confusion. The 7th edition defined a separate student format, and most guides written before 2020 — plus plenty written since — describe only the professional one.

Adding a running head is not a safe default

An all-caps running head on a student paper is a visible sign of following outdated guidance. Unless your brief asks for the professional format, leave it out and let the page number stand alone.

The student title page, line by line

Unlike MLA, APA does use a separate title page. Everything on it is centred and double-spaced, with the title starting three or four lines down from the top margin.

  • The title is bold in APA 7, in title case, and centred. MLA's title is plain — do not mix the two.
  • No "by" and no label. Your name goes on its own line with nothing in front of it.
  • Affiliation is department and institution, in that order, on one line.
  • Blank double-spaced line between the title and your name, and none between the lines that follow.
  • Page number 1 appears here, flush right. The title page counts as page one.
  • Keep the title under about 12 words and avoid "A Study of" or "An Investigation into" — APA asks for a title that states the variables.

Page setup and approved fonts

APA 7 is unusually explicit about fonts: it names the acceptable options rather than describing them, which removes the guesswork MLA leaves you with.

The body of the paper does not repeat a heading called "Introduction". The paper title is repeated, bold and centred, at the top of the first body page, and your introduction simply begins underneath it.

The five heading levels

APA headings are a strict hierarchy. You start at Level 1 and may not skip a level — a Level 3 heading cannot appear unless a Level 2 precedes it.

Levels 4 and 5 are run-in headings: the paragraph begins on the same line as the heading, immediately after its full stop. Most undergraduate papers never need more than Levels 1 and 2.

In-text citations, and what changed in APA 7

Two rules changed in the 7th edition and both affect nearly every paper.

  • Three or more authors use "et al." from the very first citation. The 6th edition made you list all authors the first time; that is no longer correct.
  • Publisher location is gone from reference-list entries. No more "New York, NY:".
  • Up to 20 authors are now listed in a reference entry before you abbreviate.
  • DOIs are formatted as URLs — https://doi.org/10.xxxx/yyyy — with no "doi:" prefix and no full stop after.
  • "Retrieved from" is dropped for most web sources; the bare URL is enough.

Start a new page, centre the word References in bold, and keep everything double-spaced with a half-inch hanging indent.

  1. Alphabetise by the first author's surname. Never by order of appearance.
  2. Same author, several years: oldest first. Same author and year becomes 2021a, 2021b, matched to your in-text citations.
  3. Sentence case for article and chapter titles — only the first word, proper nouns and the word after a colon are capitalised.
  4. Title case and italics for journal and book titles. This asymmetry is the single most common APA error.
  5. Hanging indent of 0.5 inch — Ctrl+T in Word, ⌘+T on Mac.

What does an APA format paper look like?
A student APA 7 paper has a title page with the bold title, your name, department and institution, course, instructor and due date all centred; 1-inch margins; double spacing throughout; an approved font such as Times New Roman 12 or Calibri 11; page numbers flush right on every page; bold centred and flush-left headings; and a References page with a half-inch hanging indent.
Does a student APA paper need a running head?
No. APA 7 removed the running head for student papers — only the page number appears in the header, flush right. Guides that still require an all-caps running head are describing the professional format or the 6th edition.
Does an APA paper need an abstract?
Only if your instructor asks for one. Abstracts are standard for professional papers submitted for publication but are not part of the default student format. If one is required, it goes on its own page after the title page, with the word Abstract bold and centred.
What fonts are allowed in APA 7?
Times New Roman 12 pt, Calibri 11 pt, Arial 11 pt, Georgia 11 pt, Lucida Sans Unicode 10 pt or Computer Modern 10 pt. Unlike MLA, APA names the permitted options rather than describing them, so any of these is safe without checking.
When do I use et al. in APA 7?
For three or more authors, from the very first citation — (Santos et al., 2023). The 6th edition required you to list every author the first time, which is why older guidance disagrees. Two authors are always both named.
How do I format APA headings?
Level 1 is centred and bold in title case. Level 2 is flush left and bold. Level 3 is flush left, bold and italic. Levels 4 and 5 are indented run-in headings ending in a full stop, with the text starting on the same line. You may not skip a level.
What is the difference between APA and MLA?
APA uses a title page, a bold title, author–date citations like (Santos, 2021, p. 214), a bold References heading and sentence-case article titles. MLA uses a four-line first-page header, a plain title, author–page citations like (Santos 214), a plain Works Cited heading and title-case article titles in quotation marks.
Do I still write the publisher's location in APA 7?
No. The 7th edition dropped publisher location entirely, so a book reference ends with the publisher name alone. It also dropped "Retrieved from" for most web sources and formats DOIs as full https://doi.org/ URLs.
